Subscription Types

OutSmart has a Forever Free tier and paid subscriptions. Paid subscriptions are modular — you subscribe to the specific features you need rather than a fixed bundle. This page covers what’s in each tier, the Maintenance Mode option for extended absences, and how cancellations work.

Forever Free

The Forever Free account gives you everything you need to run scheduling and online booking:

  • Calendar and scheduling
  • Online Booking with Magnetic Booking (Does not include waitlist)
  • Email appointment confirmations and reminders to clients
  • Intake Forms (Smart Forms)
  • Patient list management
  • Basic notes (the Scratchpad for quick patient notes)

With those alone, you have a professional booking and scheduling system at no cost. Forever Free includes basic email support but no live one-on-one training.


A paid subscription adds the features needed to run a clinic end-to-end. Modules can be combined however you need them. Common modules include:

  • Medical charting — Basic and PRO charting features, including the chart editor, audit trail, and digital signatures
  • Invoicing and dispensary — invoice creation, refunds, payment recording, the Express Checkout dashboard card
  • Inventory management — purchase orders, stock tracking, low-stock alerts
  • Document uploads and sharing — patient document uploads, faxing, document sharing with patients
  • SMS appointment reminders — text-message reminders alongside the email reminders
  • Advanced calendar customisations — additional event-type controls, waiting lists

Paid subscribers also get free one-on-one training time.

Choosing modules per practitioner

Modules are assigned to individual practitioners — so two practitioners in the same office can have different feature sets if that’s what they need. Add modules to a practitioner from the Subscriptions page (Main Navigation Menu → Subscriptions). New modules are prorated and billed at the end of the current subscription cycle.

Monthly vs yearly billing

You can switch between monthly and yearly billing at any time using the Switch To Yearly button on the Subscriptions page. The new billing cycle takes effect at the end of the current cycle — you won’t be double-charged.


Maintenance Mode

Maintenance Mode (also called a Maintenance Subscription) is a low-cost subscription for when you’ll be away from your account for an extended period but want to keep all your data accessible.

In Maintenance Mode you can:

  • View all your existing patient information, charts, documents, and history
  • See your past invoices and bills
  • Keep your account and data intact

In Maintenance Mode you cannot:

  • Create new charts
  • Upload new documents
  • Use the other paid features

Maintenance Mode is view-only access for your existing data.
