How Practitioner Inclusion Works

Online Booking uses an inclusion-based system:

Adding a Practitioner

Step-by-Step

  1. Log in as an office administrator
  2. Visit your office booking page in edit mode
  3. Navigate to the “Our Team” tab in the sidebar
  4. Find the “Add to Online Booking” dropdown at the top
  5. Select a practitioner from the list
  6. They appear in the team list immediately

What Appears in the Dropdown

The dropdown shows:

  • All practitioners linked to your office
  • Only those not already added
  • Active practitioners only

When all practitioners are added:

  • Dropdown shows “All practitioners added”
  • No more options available

Loading States

When adding a practitioner:

  • Spinner appears next to “Add to Online Booking”
  • Text changes to “Adding…”
  • Dropdown is disabled during save
  • Practitioner appears once complete

Removing a Practitioner

Step-by-Step

  1. Find the practitioner in the Team tab
  2. Click the X button on their card
  3. Confirm removal in the popup modal
  4. They’re immediately removed from the page

What Happens on Removal

  • Practitioner no longer appears to patients

  • Their services may become hidden (if no other practitioners offer them)

  • Past bookings are unaffected

  • You can re-add them anytime

    Removing a practitioner doesn't delete them from OutSmart - it only hides them from this booking page.


Practitioner Requirements

For a practitioner to appear in the dropdown:

Must Have

  • Active user account in OutSmart
  • Linked to the office (type 2 - practitioner)
  • Agreement status approved in office link

Nice to Have

  • Booking handle configured
  • Calendar set up with availability
  • Profile photo uploaded
  • Bio and credentials complete

Handle Not RequiredPractitioners do NOT need a booking handle to be added to an office booking page. Handles are only required for personal practitioner priority pages.


Service Considerations

Service Visibility

When you add a practitioner:

  • Their services don’t automatically appear
  • You must also enable the services separately
  • Services are controlled independently
  1. Add practitioner to team list
  2. Add their services to services list
  3. Both are now bookable

Practitioners Without Enabled Services

If a practitioner has no enabled services:

  • They appear in the team list
  • No services show for booking with them
  • Patients see them but can’t actually book

Multiple Offices

Same Practitioner, Multiple Offices

If a practitioner works at multiple offices:

  • They can be added to each office’s booking page
  • Each office manages their own inclusion list
  • The practitioner’s personal page (if they have one) is separate

Managing Across Offices

Each office administrator manages their own list:

  • Office A can include practitioners X, Y, Z
  • Office B can include practitioners Y, Z, W
  • Lists are independent

Order of Practitioners

When you add practitioners:

  • They appear in the order added
  • You can reorder using drag-and-drop
  • Order determines display position in team list
  • See Reordering Team for details

Troubleshooting

Practitioner Not in Dropdown

Possible causes:

  • Already added to the booking page
  • Not linked to this office
  • Link is inactive or not approved
  • User account is inactive

Can’t Add Practitioner

  • Verify you’re logged in as office administrator
  • Check the practitioner exists in OutSmart
  • Refresh the page and try again

Added Practitioner Not Showing to Patients

Check:

  • Practitioner is in the enabled list
  • At least one of their services is enabled
  • They have availability in their calendar
  • Refresh the patient view

Remove Button Not Working

  • Ensure you’re in edit mode (logged in as admin)
  • Wait for any pending operations
  • Try refreshing the page

Quick Setup Checklist

For each practitioner you want to enable:

  • Practitioner is active in OutSmart
  • Linked to your office with approval
  • Calendar has availability set up
  • Added to booking page via dropdown
  • Their services are also enabled
  • Profile photo uploaded (optional but recommended)
