Patient Profile
The Patient Portal provides patients with access to view and modify their profile information. This feature allows patients to keep their demographic details current while maintaining data integrity within the clinic’s official records.
How Profile Updates Work
Patient Capabilities
Patients can access and modify their profile information through the Patient Portal, including:
- Contact information (phone, email, address)
- Demographic data
- Personal preferences
Important: No Automatic Updates
Dual Information System
What Practitioners and Staff See
When patients update their profile information, practitioners and clinic staff will see both versions in the Client Workspace:
- Original Demographic Information - The official patient record data
- Patient Portal Updates - Information provided by the patient through the portal
Clinical Decision Making
Practitioners and clinic staff can:
- Review both sets of information side by side
- Compare changes made by the patient
- Make informed decisions about which information to keep
- Choose whether to update the official Patient Record with new information
Benefits of This System
Data Integrity
- Prevents accidental overwrites of important medical record information
- Maintains audit trail of original vs. updated information
- Allows staff verification before making official changes
Workflow Process
For Patients
- Log into Patient Portal
- Navigate to profile section
- Update desired information fields
- Submit changes
- Information is saved to portal (not official record)
For Clinic Staff
- Access Client Workspace for the patient
- Click on the ‘edit’ button below the patient demographics to review both original and portal-updated information
- Make decision to update official record or keep original by clicking the ‘arrow’ buttons next to each piece of demographic information to copy it to the official record
Best Practices
For Clinic Staff
- Regularly check for patient profile updates in the client/patient workspace
- Establish workflow for reviewing and processing updates
- Discuss significant changes with patients during visits
- Train staff on the dual information system
For Patient Communication
- Explain that portal updates don’t automatically change official records
- Let patients know their updates will be reviewed by staff
- Encourage patients to mention important changes during appointments
