Online Booking is a standalone booking portal that connects directly to your OutSmart practice management system. Patients can:

  • Browse your services and team members
  • Check real-time availability
  • Book appointments instantly
  • Complete intake forms automatically
  • Pay deposits or save cards on file

All bookings sync directly to your OutSmart calendar, with full patient records created automatically.

Two Booking Modes Explained

Office Priority Mode

When patients visit your clinic’s booking page, they see:

  • Your clinic’s branding and hero image
  • “Our Team” tab showing all practitioners
  • “Our Services” tab showing all available services
  • Option to select a specific practitioner

Best for: Multi-practitioner clinics, medical offices, therapy centers

Practitioner Priority Mode

When patients visit a practitioner’s booking page, they see:

  • The practitioner’s profile and credentials
  • “My Services” tab showing that practitioner’s services
  • “My Locations” tab if they work at multiple offices

Best for: Solo practitioners, consultants, specialists with personal brands


How Patients Book

The booking flow is simple and intuitive:

  1. Select a Service - Browse available services by category
  2. Choose a Time - View available dates and time slots
  3. Enter Information - Provide patient details (or log in)
  4. Complete Questionnaire - Answer any pre-booking questions
  5. Review & Confirm - Accept terms and policies
  6. Payment (if required) - Pay deposit or save card
  7. Confirmation - Receive booking confirmation

What Happens After Booking

When a patient completes a booking:

  1. Appointment Created - Added to your OutSmart calendar
  2. Patient Record - Created or updated automatically
  3. Intake Forms - Assigned if linked to the service
  4. Notifications - Confirmation sent to patient
  5. Payment - Deposit processed or card saved (if configured)
