Team Overview

How Team Management Works

In Office Priority mode, the “Our Team” tab shows practitioners who are available for online booking. You control:

  • Which practitioners appear
  • The order they’re displayed
  • Their profile photos (override option)
  • Whether their social media links show

Team Display

What Patients See

The “Our Team” tab displays:

  • Practitioner photo (or placeholder)
  • Full name with credentials
  • Bio (truncated with “Read More”)
  • Credential badges

Practitioner Cards

Each practitioner card includes:

  • Profile photo (yours or override)
  • Name with title and suffix
  • Credential pills using secondary color
  • “Read More” link for full bio

Inclusion-Based System

Online Booking uses an inclusion list for practitioners:

Team vs. Services Relationship

Practitioners and services are connected:

Service Visibility

A service only shows if:

  1. The service is enabled on the booking page
  2. At least one practitioner offering it is also enabled
  3. The practitioner has availability

Practitioner Without Services

If you enable a practitioner who has no enabled services:

  • They appear in the team list

  • But no services show for them

  • Patients can see them but can’t book

    Enable both practitioners AND their services for a complete booking experience.


Office Priority vs. Practitioner Priority

Office Priority Mode (This Section)

  • “Our Team” tab shows clinic practitioners
  • Office administrator controls the list
  • Multiple practitioners can be shown
  • Patients choose who to book with

Practitioner Priority Mode

  • No team management needed
  • Page shows only that practitioner
  • “My Locations” replaces team tab
  • Practitioner controls their own page

Common Scenarios

New Practitioner Joining

When a new practitioner joins your practice:

  1. Set them up in OutSmart (main app)
  2. Configure their calendar and services
  3. Add them to online booking via the Team tab
  4. Upload/approve their photo
  5. Verify their services are enabled

Practitioner Leaving

When a practitioner leaves:

  1. Remove them from the booking page
  2. Their past appointments remain unchanged
  3. They no longer appear for new bookings
  4. Consider updating service assignments

Temporary Absence

For vacation or leave:

  • You can remove and re-add practitioners
  • Or adjust their calendar availability in OutSmart
  • No availability = no bookable slots shown

Best Practices

Complete Profiles

Encourage practitioners to have:

  • Professional headshot photo
  • Complete bio with credentials
  • Accurate title and suffix
  • Working calendar with availability

Consistent Presentation

For a cohesive look:

  • Use similar photo styles (lighting, background)
  • Write bios in consistent format
  • Display credentials consistently

Regular Review

Periodically check:

  • All active practitioners are enabled
  • Inactive practitioners are removed
  • Photos and bios are current
  • Services are correctly assigned
