Patient Search Actions

The Patient Search is a powerful tool with varying functionality depending on your user role.

For Practitioners:

Practitioners can search for patients they are already connected to across all of their offices, as well as all patients of the current clinic. This allows you to find and connect to patient records as needed, which is useful in collaborative clinic environments.

Connect to Patient Button: If you are not yet connected to a patient, the search results will show a “Connect to this patient” option. Clicking this will give you access to that patient’s workspace.

Example 1: Search result where you (practitioner) are not connected to the patient.

More Info Button: For patients you are already connected to, clicking “More Info” will reveal demographic details and provide options to connect or disconnect the patient from other offices you belong to.

For Administrators:

Admins have different search capabilities, allowing them to manage patient records across multiple clinic locations.

Connecting Patients to the Current Office: If a patient is connected to another office you manage, you can use the search results to connect that same patient record to your current office. This is helpful for managing patient continuity across different clinic locations.

Connecting to Practitioners: Admins can also connect a patient record to a specific practitioner at any office they are part of, simplifying patient management for multi-location clinics.

Example 4: Admin accounts have the option of connecting a patient to a specific practitioner at any of the offices that they (the admin) is a part of. This simplifies connecting the patient record to the right practitioner for clinics that have multiple locations.


Document Search Actions

The actions you can take on document search results depend on your role.

  • Practitioners: Can access all their documents across all their patients and office locations.
  • Admins: Have access to all documents for all practitioners at their clinic. They cannot access documents for patients who are not connected to any of the offices they manage.

To view a document, click its name in the search results. Only PDF and image documents can be viewed directly in the browser; other file types will be downloaded for local viewing.

Appointment Search Actions

Both practitioners and admins can search through the clinic calendar for appointments. The search results will only show patient appointments, and will not include non-patient events like breaks or meetings.

SOAP Charts / Treatment Plans Search Actions

This search will return a list of charts that match your criteria. The scope and results differ based on your role.

For Practitioners:

The system searches all charts authored by you. A search for a term like “headache” will return all charts where that word appears anywhere in the notes or properties.

For Administrators:

The search is limited to charts created by practitioners at the current office. It will only match search terms found in sections of the chart that would normally appear in the treatment plan.

Available Actions:

  • Practitioners: Can view the chart, view the treatment plan, or edit/unlock the chart.
  • Admins: Can only view the treatment plan.

SmartForms Search Actions

Similar to the SOAP Chart search, the results depend on your role.

  • Practitioners: The search includes all SmartForms associated with the logged-in practitioner.
  • Admins: The search includes all SmartForms for the current clinic and all its practitioners.

Search terms are matched against the SmartForm’s answers, the subject patient, and the involved practitioner.

Privileges: Both practitioners and admins have identical privileges and can view or edit any SmartForms returned by the search.

Dispensary Search Actions

The dispensary search will allow you to find products / items within a specific dispensary. After choosing the dispensary search option, you can select your dispensary and click on search. this will bring up a dispensary browser with a variety of search filters you can use to find products in your dispensary.
