Limited Access Accounts
- Can see upcoming appointments they booked themselves via online booking
- No access to appointments booked manually by clinic staff
Full Access Accounts
- Can see all upcoming appointments
- Includes both self-booked and staff-booked appointments
- Requires Medical Records Access link to obtain full access
Booking New Appointments
From Patient Portal (Re-booking)
For patients with access to previously booked appointments:
- Log into Patient Portal account
- Click on a past appointment to re-book
- System redirects to your Online Booking page
- Complete booking process
From Clinic Website (New Patients)
For patients without access to previous appointments:
- Visit your clinic website
- Click the “Book Now” button (assuming you have set this up)
- Complete online booking process
- Patient Portal account will be created during this process if they do not have one OR if they register as a new patient.
Cancelling and Rescheduling Appointments
Before patients can cancel appointments online, you will need to enable cancellation for your events. This can be done globally to affect all your events, or it can be done on an event by event basis (if you first turn off global cancellations). You will be able to specify which events you want to allow patients to cancel online, as well as how far in advance they have to cancel.
Which Appointments Can Be Cancelled
When online cancellations are configured, the appointments that patients can can cancel online are based on your global preferences or those for each event type, as well on which events they can actually see in their patient portal.
Limited Access Accounts
- Can only see and cancel appointments they booked themselves
- Cannot access staff-booked appointments
Full Access Accounts
- Can see and cancel any eligible appointment
- Includes both self-booked and staff-booked appointments
Patient Experience
When patients log into their Portal:
- View available appointments based on their access level
- Cancellation button appears directly beside eligible bookings
- Click to cancel appointments within the allowed timeframe
- Receive confirmation of cancellation

For Clinics
- Clearly communicate the difference between limited and full access to patients
- Provide Medical Records Access links promptly for comprehensive portal access
- Set appropriate minimum notice periods for online cancellations
For Patient Education
- Explain how to access previous appointments for re-booking
- Communicate cancellation policies and minimum notice requirements
- Help patients understand their access level and available features
