Sharing Charts With Colleagues
A chart belongs to the practitioner who wrote it, and nobody else at the clinic can see it unless it is shared with them. Sharing is how you give a colleague read access, either to one chart or to every chart you have written for a patient.
Who can share a chart
The practitioner who wrote it can always share it.
Admin staff can share it on a practitioner’s behalf when both of these are true:
- The practitioner is an active member of the office you currently have selected.
- The chart was written in that same office.
When an admin shares a chart, the sharing rule still belongs to the practitioner. It appears in the practitioner’s own list of sharing rules, exactly as if they had created it.
Where to find the Share button
- Patient workspace, Charts tab. Find the chart in the list and click Share on its row. Admin staff share from here.
- Your chart list. Practitioners can also share from their own list of charts.
Both open the same sharing panel.
Choosing what to share
At the top of the sharing panel is a dropdown with four options. Pick one before you choose who to share with.

| All of My Charts In ALL offices | Every chart the practitioner has written, at every office they work in. |
The last three options keep working as new charts are written. If you share all of a patient’s charts today, a chart written for that patient next month is covered too, without you doing anything.
Choosing who to share with
You can pick as many recipients as you like, of two kinds:
- A practitioner. Colleagues at your office, plus anyone you are connected to through a Share PIN.
- An office. Everyone who works there, including practitioners who join later.
The panel does not offer to share a chart with the practitioner who wrote it.
What admin staff can do
Admin staff can use three of the four options: This Specific Chart, All of This Patient’s Charts, and All of My Charts In THIS office.
All of My Charts In ALL offices is only available to the practitioner. It covers every chart they have written at every clinic they work in, so it is theirs to give.
When an admin opens the panel, the practitioner they are sharing for is named at the top, and each option reads “ALL charts by this practitioner” instead of “ALL your charts”, so it is clear whose records are being shared.
Removing sharing
Existing sharing rules are listed in the panel, each with a × beside it. Click the × to remove that rule. The recipient loses access immediately.
Practitioners can remove any of their own sharing rules. Admin staff can remove the same three kinds they are able to create, so a share made by mistake can be undone by whoever made it. Rules covering all of a practitioner’s charts in all offices show no × for admin staff.
What sharing does not do
- It does not transfer the chart. The practitioner who wrote it still owns it and can remove access at any time.
- It does not allow editing. A shared chart can be read, not changed.
- It does not give access to the patient’s record generally. Sharing a chart is a different thing from linking a patient to another practitioner. See Patient Privacy Between Team Members.
