Downloading Report Data
Every report in OutSmart can be downloaded as a CSV file you can open in Excel, Google Sheets, or any other spreadsheet program. CSV is the standard way to take a copy of a report for bookkeeping, mailings, or any analysis you want to do outside the reporting page.
How to Download a Report as CSV
- Open the Reports page from the Main Navigation Menu.
- Choose the report category, dispensary, and specific report (see Reporting Overview).
- Configure the filters and columns the way you want them.
- Click Run Report to generate the results.
- Click the CSV button at the top of the results.
The download starts immediately. Open the file in any spreadsheet program.
What’s Included
The CSV contains exactly what you see in the report:
- The columns you configured — same order, same set
- The rows the filters returned
- The groupings and subtotals if you used Group By and Only Show Totals
This means you can shape the file by adjusting columns and filters before clicking CSV. If you want a leaner CSV, remove the columns you don’t need before running the report.
Sample — Producing a Patient List
A common use is producing a list of patients for a mailing or campaign.
- Open Reports from the Main Navigation Menu.
- Choose Patient Reports, then Patient List Report.
- Set the filters (for example, Filter by location for a city-specific list, or a birthday range for a birthday campaign).
- Add the columns you’ll need — typically First Name, Last Name, Email, and Phone.
- Click Run Report, then CSV.

CSV vs Print
- CSV — for working with the data in another program. Spreadsheets, mailing list tools, bookkeeping software, anywhere you’ll work with the numbers further.
- Print — for a paper or PDF copy of the report as it appears on screen. Use Print for end-of-day reconciliation slips, patient tax-receipt printouts (Patient Year End), or any time you need a fixed record of the report.
