Client Update: Patients Check Their Own Details

Client Update lets a patient check and correct their own demographic details on a clinic tablet, and saves what they enter straight to their record.

The patient is standing in front of you and already knows their own address, so this hands them the device instead of reception reading details off a clipboard and retyping them.


How to use it

  1. Open the patient’s workspace.
  2. Click More Actions, then Client Update.
  3. A QR code appears, good for five minutes, with a countdown and a refresh button if it runs out.
  4. Scan the code with the clinic tablet.
  5. Choose prefilled to show the details you already hold, or blank to start with empty fields.
  6. Hand the tablet to the patient.
  7. The patient checks or enters their details and confirms them on a summary screen.
  8. When they submit, their record is updated and they are asked to hand the tablet back.

Prefilled or blank

Prefilled shows what is already on file so the patient corrects it. Use this for an existing patient whose details may have changed.

Blank starts with empty fields. Use this for someone new, or when you would rather the patient entered everything themselves without seeing what you hold.

The patient’s existing details are only shown after you have chosen prefilled, so scanning the code alone never displays them.


How long you have

  • Five minutes to scan the code. If it runs out, click refresh for a new one. Refreshing cancels the previous code, so a code that looks expired cannot still be used.
  • Thirty minutes to fill it in, counted from when you choose prefilled or blank. The clock extends while the patient is typing.

The code works once. When the patient submits, it stops working.


What gets updated

Whatever the patient confirms is written to their record, replacing what was there. It is the same update you would make yourself from their workspace, so anything that depends on those details, such as appointment reminders going to the right phone number, uses the new information from then on.

You need the same permission to start a Client Update that you need to edit a patient’s details directly.
