Accessing Your Booking Page
Accessing Your Booking Page
There are several ways to access your online booking page, both for patients and for administrators.
URL Formats
Online Booking supports multiple URL formats depending on how you want to share your booking link.
Branded Subdomain (Recommended)
The cleanest, most professional option:
https://your-handle.outsmartcare.com/book
Examples:
-
https://dr-smith.outsmartcare.com/book
This format is perfect for business cards, marketing materials, and social media profiles.
Generic Booking Domain
A universal booking URL that works for all OutSmart clients:
https://booking.outsmartcare.com/your-handle
Examples:
Main Application Path
Access through the main OutSmart application:
https://app.outsmartemr.com/booking-app/your-handle
Two-Part URLs
You can include a second parameter to pre-select a practitioner or location.
Office Priority + Practitioner
When sharing an office booking link with a specific practitioner pre-selected:
https://booking.outsmartcare.com/clinic-handle/practitioner-handle
Example: https://booking.outsmartcare.com/downtown-clinic/dr-smith
This opens the clinic’s booking page with Dr. Smith already highlighted.
Practitioner Priority + Location
When a practitioner works at multiple locations:
https://booking.outsmartcare.com/practitioner-handle/office-handle
Example: https://booking.outsmartcare.com/dr-smith/downtown-clinic
This opens Dr. Smith’s personal booking page with the downtown location pre-selected.
Direct Service Links
You can link directly to a specific service, skipping the service selection step.
Format
Add a third parameter with the service/event type ID:
https://booking.outsmartcare.com/office/practitioner/service-id
Example: https://booking.outsmartcare.com/downtown-clinic/dr-smith/123
When to Use Direct Links
- Email campaigns for specific services
- QR codes on service-specific marketing materials
- Website buttons that link to a particular appointment type
Sharing Your Booking Link
Recommended Link Format
For most uses, share your branded subdomain:
https://your-handle.outsmartcare.com/book
Where to Share
| Platform | Tip |
|---|---|
| Business cards | Use the short branded URL |
| Website | Add a “Book Now” button linking to your page |
| Email signature | Include a booking link |
| Social media | Pin your booking link to your profile |
| Google Business | Add as your booking URL |
| Text messages | Share the short URL with patients |
Creating QR Codes
Generate a QR code for your booking URL:
- Use a free QR code generator (search “QR code generator”)
- Enter your booking URL
- Download and use on printed materials
Viewing Your Page as a Patient
To see exactly what patients see:
-
Open a private/incognito browser window
-
Navigate to your booking URL
-
Browse as if you were a patient
Using incognito mode ensures you see the public view, not the admin edit mode.
Incognito (or any browser where you’re not logged in to OutSmart) is also the only way to test the patient form step end-to-end. If you’re logged in as an OutSmart practitioner or admin and you reach the patient form on a booking page you don’t have edit access for, you’ll see a block message instead of the form — see Why staff see a block message at the patient form below.
Viewing Your Page as an Administrator
To access edit mode and customize your booking page:
- Log in to OutSmart in a regular browser window
- Navigate to your booking URL
- If you have edit permissions, you’ll see:
- Settings icon (gear) in the header
- Camera icons to upload images
- Edit buttons on various elements
Troubleshooting Access Issues
”Page Not Found” Error
- Verify your handle is set up correctly
- Check for typos in the URL
- Ensure the handle is active (not disabled)
“Office Not Found” Error
- The office may be inactive in OutSmart
- Online booking may not be enabled for this office
Can’t See Edit Controls
- Make sure you’re logged into OutSmart
- Verify you have administrator permissions
- Try refreshing the page
Wrong Content Displaying
- Check that you’re using the correct handle
- Verify you’re accessing the right office/practitioner
Why staff see a block message at the patient form
When an OutSmart practitioner or admin browses the public booking page without being in edit mode for that specific page, the booking flow runs normally until the patient-form step — then OutSmart shows a block message and a Log out and start over button instead of the patient-information form.
This is intentional. Staff users carry their OutSmart session into the booking-app, and that session shouldn’t be used to register a patient — both because the resulting patient record would carry the staff member’s account linkage instead of the patient’s, and because the patient picker on subsequent steps would surface clinic patients in a way that looks like a privacy leak.
The two ways around it, depending on what you’re trying to do:
- Just looking at how the page appears to patients? Use the private/incognito browser window approach above. Browsers in incognito mode don’t carry your OutSmart session, so the booking-app treats you as a member of the public.
- Need to test the full booking flow end-to-end? Log in to OutSmart and open your own booking page in edit mode. Staff in edit mode for the page they’re browsing get the full booking flow — the block only fires when staff are on someone else’s page (or a page they don’t have edit access for).
- Need to book a personal appointment for yourself at another clinic? Log out of OutSmart, then book like any other patient.
