V1 Online Booking Options Panel

The V1 Online Booking Options panel is where the original online booking system stores its global settings — Magnetic Booking, scheduling intervals, breaks between visits, minimum booking notice, and online cancellation.

Opening the Panel

  1. Open the Calendar by clicking the calendar icon at the top right of the screen.
  2. Click the gear icon at the top right of the calendar to open the settings menu.
  3. Click Online Booking Options.

Enable Magnetic Booking

Magnetic Booking groups online bookings together so you don’t end up with awkward gaps in your day. With it on, OutSmart only offers patients slots directly adjacent to existing events. With it off, slots are offered every X minutes from the start of your Hours of Operation block, using the Default Scheduling Intervals setting below.

Default Scheduling Intervals

Used only when Magnetic Booking is off. Determines how often a slot is offered to patients. For example, with intervals set to 30 minutes and a day starting at 9:00 am, the booking page offers slots at 9:00, 9:30, 10:00, and so on.

Individual Event Types can override this default with their own scheduling interval. See Creating Event Types.

Break Between Visits

A global default for the buffer of free time after every visit, during which no other appointment can be booked online. Individual Event Types can override this with their own buffer.

Minimum Booking Notice

How far in advance a patient must book — for example, 24 hours means a patient at 10:00 am today can only book appointments after 10:00 am tomorrow.

Individual Event Types can override this with their own minimum notice.

Allow Patients to Cancel Online

When on, patients can cancel their own appointments from the Patient Portal. When off, they need to contact the clinic.

Individual Event Types can override this with their own cancellation rules.

Minimum Notice to Cancel Online

If online cancellation is on, this sets how far in advance the patient must cancel. Patients attempting to cancel inside this window will be directed to contact the clinic instead.

Individual Event Types can override this with their own minimum cancellation notice.

Saving Your Changes

Click Save at the bottom of the panel. If you don’t, your changes are not saved.

Per-Event-Type Overrides

Most of the values in this panel are defaults that individual Event Types can override. Scheduling Intervals, Breaks Between Visits, and Cancellation preferences can all be set on an Event Type in the Event Type Editor — and when set there, those values win for that event type.

Magnetic Booking is the exception — it applies to all event types and cannot be overridden per event type.
