Subscriptions Overview
OutSmart uses a subscription-based model to give practitioners access to the features that go beyond the always-free baseline. Subscriptions are modular — you subscribe to the specific features you need (charting, calendar customisation, document uploads, and so on) rather than picking one big tier. Admin staff don’t need their own subscription; they work under the office’s subscription set up by a practitioner.

How Subscriptions Are Managed
All subscription tasks live in the same place — the Subscriptions page:
- Log in to the Principal Practitioner Account (the practitioner who created the office). Other practitioners and admin staff cannot change the office’s subscription.
- Open the Main Navigation Menu (the three bars at the top left).
- Choose Subscriptions at the bottom of the menu.
From the Subscriptions page you can add or remove modules, switch between monthly and yearly billing, update your card, and view past invoices.
Troubleshooting
What’s the difference between the Forever Free account and a paid subscription?
The Forever Free account gives you everything you need for scheduling and online booking:
- Calendar and scheduling
- Online Booking
- Appointment confirmations and reminders by email
- Intake forms (Smart Forms)
- Patient list management
- Basic patient notes (the Scratchpad)
With those alone, you have a professional online booking and scheduling setup at no cost.
Paid subscriptions add the features needed to run a clinic end-to-end:
- Medical charting (Basic and PRO)
- Invoicing and the dispensary
- Inventory management
- Document uploads and sharing
- SMS appointment reminders
- Advanced calendar customisations
- Waiting lists
Paid subscribers also get live support and one-on-one training; Forever Free accounts get email support only. The current pricing for paid modules is on the OutSmart pricing page.
Can I pause my subscription temporarily?
Yes — see Maintenance Mode in Subscription Types. It’s the low-cost view-only subscription for extended absences of three months or more. It is not designed for short-term breaks like vacations.
Does cancelling my account cost anything?
No. There’s no cost to cancel. After cancellation, your account reverts to the Forever Free tier so you keep the free features. To export your data from OutSmart, contact us at contact.outsmartemr.com.
Where do I see my past bills?
On the Subscriptions page, choose the Bills tab. Every invoice your account has been issued appears there, with the status (paid, unpaid, refunded) and download links.
