Prerequisites

Required Setup

1. Active OutSmart Account

You must have an active OutSmart practice management account with:

  • At least one active office/clinic set up
  • At least one active practitioner linked to the office
  • Calendar and scheduling features enabled

2. Services Configured

Your services (appointment types) should be set up in OutSmart:

  • Service title and duration defined
  • Services assigned to the appropriate practitioners
  • Pricing set (if you plan to display prices or collect payments)

3. Practitioner Calendars

Each practitioner who will accept online bookings needs:

  • An active calendar with working hours set
  • Availability schedule configured
  • Any blocked time or recurring appointments already added

4. Administrator Access

To customize the booking page, you need the appropriate permissions:

Practitioner PriorityBe the practitioner - Logged in as yourself

Profile Information

For the best patient experience, complete these profiles:

For Offices:

  • Office name and address
  • Phone number and email
  • Office logo (square image, PNG or JPG)
  • Social media handles (Instagram, Facebook, etc.)

For Practitioners:

  • Full name with title (Dr., etc.)
  • Credentials/suffix (MD, PhD, RMT, etc.)
  • Professional bio
  • Profile photo (square headshot)
  • Social media handles (optional)

Service Descriptions

Well-written service descriptions help patients choose the right appointment:

  • Clear, patient-friendly titles
  • Brief description of what to expect
  • Accurate duration

Technical Requirements

For Patients (Booking)

Patients booking appointments need:

  • Modern web browser (Chrome, Firefox, Safari, Edge)
  • Internet connection
  • Email address for confirmations

For Administrators (Editing)

To access edit mode, you need:

  • Logged into OutSmart
  • Appropriate permissions (see above)
  • Modern web browser with JavaScript enabled

Optional Features

These features require additional setup:

Payment Collection

To collect deposits or save cards:

  • OutSmart Pay set up for your office
  • Payment settings configured for your office
  • Services set to require payment

Intake Forms (SmartForms)

To automatically assign intake forms:

  • SmartForms created in OutSmart
  • Forms linked to specific services
  • Account creation enabled (forms require patient login)

Custom Subdomain

To use a branded URL like yourclinic.outsmartcare.com:

  • Booking handle set up (no spaces, lowercase)
  • Handle verified as unique
