Shared Documents

Overview

Documents shared with clients in OutSmart’s Documents section automatically become visible to patients in their Patient Portal account. This feature allows you to provide patients with easy access to important files, forms, and educational materials.

Patient Access Requirements

For patients to view shared documents in their Patient Portal:

  1. Full Access Required - Patient must have used their Medical Records Access Link to unlock access to their medical data
  2. Documents Must Be Shared - You must actively share specific documents with the patient

Supported File Types

You can share various types of documents with patients:

  • PDFs
  • Images
  • Videos
  • Other document file formats

Managing Shared Documents

From Patient Workspace

To view and manage documents for a specific patient:

  1. Go to the patient’s workspace in your account
  2. Click on the “Documents” tab
  3. View all documents shared and associated with that patient
  4. Share or unshare documents directly from this location

From Main Documents Page

For broader document management:

  1. Navigate to the main Documents page in your account (click the documents icon at the top right of the screen)
  2. Access a wider range of documents for sharing
  3. Share documents that may not currently be associated with specific patients

Best Practices

  • Regularly review which documents are shared with each patient
  • Use descriptive file names to help patients identify documents easily
