Booking Invitations Card
The Booking Invitations card lists every booking invitation your clinic has sent, whether it was sent from the waitlist card or from the calendar. Use it to see which patients have not replied yet, which have booked, and which offers have ended.
Adding the card to your dashboard
Add it the same way as any other card, from the dashboard’s card menu. See Dashboard Setup.
The four tabs
| Tab | What it means |
|---|---|
| Pending | Sent, and waiting for the patient. |
| Booked | The patient accepted and has an appointment. |
| Cancelled | You withdrew the offer. |
| Expired | The deadline passed, or the appointment time did, with no reply. |
Cancelled and Expired mean different things. Cancelled means your clinic withdrew the offer. Expired means the patient did not reply in time. They are listed separately so you can tell which is happening.
What you can do with an invitation
On an invitation that is still live:
- Resend it, which sends the same offer again.
- Copy link, to send it yourself another way.
- Cancel it, which withdraws the offer. The link stops working straight away and the patient sees a page explaining the offer is no longer available.
On one that has settled, whether booked, cancelled or expired, you get Clear, which removes it from the list.
Settled invitations clear themselves
Booked, cancelled and expired invitations drop off this card and the waitlist card’s Invited tab after 7 days. Pending ones stay until the patient uses them or they expire.
Nothing is lost when an invitation drops off this list. If it was booked, the appointment is on your calendar as normal. Use Clear to remove one sooner.
Filtering and finding
Each invitation shows whether it was sent from the waitlist or the calendar, and you can filter the list by that. Click a patient name to open their workspace.
Troubleshooting
I cancelled an invitation but the Waitlist card still shows the entry as invited
The two cards load their information separately and do not update each other. Refresh the page, or switch tabs on the waitlist card, and it will show the change.
A patient says the link does not work
Check which tab the invitation is on. If it is under Expired, the deadline or the appointment time passed. If it is under Cancelled, the offer was withdrawn. If it is still Pending, somebody else may have booked that time, in which case the link stops working even though the invitation has not otherwise changed.
In all of those cases, send a new invitation for a time that is still open.
An invitation is on Booked but the patient says they did not book
The invitation was used, so the appointment exists. Open the patient record or the calendar to see it, and check with the patient before removing anything. Anyone who has the link can use it, so if the patient forwarded the message, somebody else may have confirmed for them.
