TODO: Client Workspace Overview
The Patient Workspace (also called the Client Workspace) is the patient’s complete record in OutSmart — every chart they’ve ever had with you, every document on file, every Smart Form they’ve submitted, every invoice, and every alert or note about them, organized into tabs in one place. It’s the page you go to when you want to see “everything about this patient”, as distinct from a single chart which is just one visit.
If you came from a paper-record system, the Patient Workspace is the equivalent of the patient’s full folder; a single SOAP chart is one piece of paper in that folder.
Opening the Patient Workspace
The fastest way is the Search Bar in the header of every OutSmart page:
- Click into the Search Bar at the top.
- Type the patient’s name (or part of it).
- Click their name in the search results.
- On the result panel, click Patient Workspace.
You can also open the workspace from:
- The Daily Schedule Card on the dashboard — click the patient’s name on their appointment row
- The calendar — click an event, then choose Patient Workspace from the event card
- The Master Patient List — open the patient list, find the patient, click their name
- A chart you’re already in — the chart’s More Actions menu has a Go to Patient Workspace option
What’s in the Workspace
The workspace is organized into tabs. The set of tabs depends on which paid modules you’re subscribed to, but the common ones are:

| Medical Summary | At-a-glance snapshot — active diagnoses, current medications and supplements, recent vitals, allergies, alerts. The page you scan before a visit. |
| Charts | Every chart this patient has had, in date order. Open, print, or restore deleted charts here. |
| Notes | Workspace notes — short notes that aren’t part of a chart but stay attached to the patient (billing reminders, allergy alerts, preferences). See Workspace Notes. |
| Documents | Files uploaded for this patient — lab reports, referral letters, imaging, scanned consent forms. |
| Smart Forms | Every Smart Form sent to or submitted by this patient. |
| Appointments | Past and upcoming appointments on the calendar. |
| Products / Purchase History | Products and prescriptions recommended to this patient, plus their purchase history across your dispensaries. |
| Family | Family members also registered as patients — useful for paediatric and family-practice flows. |
| Demographics / Profile | The patient’s contact info, date of birth, address, insurance details. |
What the Workspace Is For
- Before a visit — open the Medical Summary tab to see active concerns, recent vitals, and any alerts you’ve flagged
- During a visit — open Charts to see the previous visit’s notes; jump to Documents to pull up a recent lab; open Smart Forms to see the intake they filled in before arriving
- After a visit — review the chart you just wrote, send a referral document, attach a follow-up Smart Form
- Between visits — admin staff settles outstanding invoices, files new documents, applies labels to organize the patient list
