Using Express Checkout to Create Billable Items

The OutSmart Calendar, which manages your schedule and online booking, and the OutSmart Dispensary, which handles your billing, are connected through the Express Checkout system on the Dashboard.

When you create an Event Type in your Calendar (like a First Visit or Follow-Up), it doesn’t automatically become a billable item in your Dispensary. The first time you use Express Checkout to bill a client for that event, the system automatically creates a Dispensary Item linked to that event. You don’t need to manually create the item because Express Checkout does it for you.

Creating Items Before Billing

If you want to create Dispensary Items from your Event Types right away without waiting to bill clients, you can do so by following these steps:

Step 1: Create a “fake” appointment for a “fake” client in your Calendar for the current day. The appointment must be for today to appear in your Express Checkout. Book the fake client for all the billable Event Types that you want to create corresponding Dispensary Items for.

Step 2: Go to the Dashboard. In the Express Checkout area, select every event listed for your fake patient and click the green New Invoice button to create an invoice. This will add all the events to your Dispensary as Items.

Step 3: Once this is done, go back to your Calendar and delete the fake appointment. Then, go into your Dispensary and delete the fake invoice. The new Dispensary Items will remain.
