Note: To create an invoice, you must have a paid subscription that includes billing or be connected to a clinic with a paid subscription.

Invoices can be created from the Express Checkout card on the main Dashboard or directly from the Dispensary’s Transactions Page.

Can I export my patient invoices to QuickBooks?

No — by design, OutSmart doesn’t export individual patient invoices into any accounting-software format. The reason is patient privacy: storing per-patient invoices in your general bookkeeping system means your accountant or bookkeeper can see which patients you’ve seen, when, and what services or products they bought. That information is supposed to stay private — it’s the same kind of information you protect on a medical chart.

Instead, OutSmart provides detailed financial reports that summarize your invoicing activity (see Sales Reports). The recommended pattern is:

1. Run a monthly Sales Summary or Sales Detailed report covering the month.
2. Total the rows by what your accountant needs — usually a single combined sales total per tax category.
3. Enter one General Journal entry per month into QuickBooks (or whatever bookkeeping software you use) with the totals from the report.

The bookkeeper gets the financial numbers they need, your accounting books stay accurate, and no patient-level data leaves OutSmart.
