Calendar Alerts

You can create a calendar alert from the Client Workspace, in the Notes area. Calendar Alerts are notes regarding a client that are written by anyone at the clinic, that have been specifically connected to your calendar. Any note created in the OutSmart Notes section can be labeled as a Calendar Alert.  By labeling a note as a Calendar Alert, you are saying that it is important for you, or for others at the clinic, to see this note when booking in the client which the note refers to.

Creating a Calendar Alert

To create a calendar alert, first you need to create a note.  That is done in the Client Workspace.  When you are in the workspace, look for the Notes area.

  1. Type in the note you want to save as an alert.
  2. Click on save, and then set the access permission to the note.  It defaults to be private to you, so if you want others to see it, adjust it accordingly.
  3. Add the Calendar Alert label.

That’s it!  After you do this, the note will show up in the alert box of the Calendar Event Editor, after selecting the patient.

Billing Alerts

You can create a Billing Alerts from the Client Workspace, in the Notes area.

Billing Alerts are notes regarding a client that are written by anyone at the clinic, that have been specifically connected to your invoices.

Any note created in the OutSmart Notes section can be labeled as a Billing Alert. By labeling a note as a Billing Alert, you are saying that it is important for you, or for others at the clinic, to see this note when creating an invoice for the client which the note refers to.

To create a billing alert, first you need to create a note. That is done in the Client Workspace. When you are in the workspace, look for the Notes area.

  1. Type in the note you want to save as an alert.
  2. Click on save, and then set the access permission to the note. It defaults to be private to you, so if you want others to see it, adjust it accordingly.
  3. Add the Billing Alert label.
  4. Type the note you want to save as an alert.

That’s it!  After you do this, the note will show up in the alert box of the Invoice Editor, after selecting the patient.

Workspace Alerts

Workspace Alerts are defined in the Client Workspace Settings panel.  You can open the Workspace Settings by clicking on the “gear” icon in the top toolbar:

Workspace alerts are essentially notes that are taken in the Client Workspace notes section, and are then labelled with a Smart Label that identifies the type of note it is.  For example, you may write a note like “Patient is diabetic”, and label it as a ‘medical alert’.  If you then configure your Workspace Alerts to include notes with the label “medical alert”, then these notes will appear at the top of your Client Workspace.

SOAP Alerts

SOAP Alerts can be configured in your Charting Preferences, which can be adjusted and set on the main SmartCharts page.  Go to the Main Navigation Menu, and click on SmartCharts.  On the SmartCharts page, click on the Settings tab to get access to the preferences.
