Charting For Students or Interns

OutSmart has built-in tools for students or interns who are working under their supervisor’s license. In these cases, students will require their charts to be reviewed and signed by their supervisor. These tools can be turned on in your chart settings.

You can turn on supervisor review and signing features in your chart settings page. Only students or interns need to do this.

You can access your chart settings by going to the Main Navigation Menu, and clicking on the Smart Charts option, and then selecting the Settings tab. Only students or interns need to do this – a supervisor does not need to do anything within their account.

Once this feature is turned on, the “lock” icon in the chart editing interface will have changed to a “request review” icon.

The “request review” icon will replace the “lock” icon in student accounts.
After clicking the “Request Review” button, you must then select a practitioner to review your chart, and then click on Assign.

When you are done with your chart, instead of clicking the “lock” icon which would normally lock and sign your chart, you must click on the “request review” icon, which will open up a list of all the practitioners at the clinic. You can then select the practitioner that you want to review your charts. You can only select one practitioner at a time.

After you have assigned the chart to be reviewed, you will be redirected to your Dashboard, where you will see your review request in the Incomplete Charts dashboard card. If you do not have this card on your dashboard, you can learn how to add it here.

You can see all your charts that are pending reviews from a supervisor in the Incomplete Charts dashboard card. (View from the Student Account)

The chart will also show up in the Incomplete Charts dashboard card in the practitioner / supervisor’s account. From here, the supervisor can click on the “Review Requested” button in order to open up the chart for review.

View from the supervisor’s dashboard. A supervisor can initiate a chart review by clicking on the “Review Requested” button for the chart in the Incomplete Charts dashboard card.

The supervisor may choose to sign the chart immediately, or leave a comment for the student. To sign the chart, the supervisor simply needs to click on the signature icon at the bottom right of the chart. To leave a comment, click on the comments icon at the bottom right of the chart.

A supervisor can click on the “sign” button to immediately sign a chart, or the “comments” button to leave a comment for the student / intern.

Clicking on the comments button will open up the commenting section. Comments left here will only ever be visible to the supervisor, and the student. The supervisor can then click on “Submit For Review” in order to notify the student.

A supervisor can add a note to the chart, and then click on Submit For Review to notify the student.

The student will be notified of the completed review in the Incomplete Charts dashboard card in their account. They can then re-open the chart in either read-only view to simply view the comments, or editing view to make changes. Comments that are left on the chart by a supervisor can be viewed in 4 different places: The read-only view for the chart, the Chart Editing interface, the Patient Workspace, and the Notes dashboard card.

Notification of a completed review will show up in the Incomplete Charts dashboard card.
Students can view a supervisor’s comments in the read-only view of a Smart Chart.
Students can view a supervisor’s notes in the Alerts/Notes section of the Smart Charts editing interface.
Students can view a supervisor’s notes in the Notes section of the Patient Workspace.
Students can see a supervisor’s notes in the Notes dashboard card.

The above process of review requests and comments can be repeated until the supervisor is ready to sign the chart. Once the chart is signed, it can no longer be modified by either the supervisor or the student, and it will disappear from the Incomplete Charts dashboard card.
